Formatting GL Statements
Your
financial statements are written, but now
you would like to customize how they appear.
Some customizations you can quickly do
yourself are:
To print
dollar signs before each dollar amount or
only on certain subheadings. [Put a $ to
the left of #### in the STATEMENT LAYOUT
Format field.]
Have commas
appear separating the numbers. [Enter the
commas where they should be in the STATEMENT
LAYOUT Format field.]
To indicate a
negative number with ( ) around the number.
[Enter a “(“ to the left of #### and a
“)” to the right of #### in STATEMENT LAYOUT
Format field.]
To indicate a
negative number with “-” after it. [Enter
a “-” to the right of #### in STATEMENT
LAYOUT Format field.]
To indicate a
negative number with “CR”. [Enter a “CR”
to the right of #### in STATEMENT LAYOUT
Format field.]
Print a
negative “-” next to credit account numbers
that are debits or debit accounts that are
credits, and a “+” next to debit accounts
that are debits. [Enter a “+” to the left
or right of #### in STATEMENT LAYOUT Format
field.]
Use whole
numbers and ignore all decimals. [Delete
the “.00” to the right of #### in STATEMENT
LAYOUT Format field.]
Have each
sales and expense account print the
percentage of sales next to it. [In the
STATEMENT LAYOUT use FORMULA 2 “CE/T9E*100”,
where E is the column you want to divide the
total that you will put in Column 9 of the
STATEMENT CONTENT you are using. (The total
is the first Sales Account through the last
Sales Account, reverse the sign and do not
print).]
Indent the
TOTALS so they appear further to the right
than the other figures in the list. This is
done through the STATEMENT CONTENT. [Use
“CR” as the TYPE on the content line and
each line beneath the “CR” will be moved to
the right the number of spaces you signify
in SHIFT. Enter “CL” in the line after the
figure you want moved to the right so the
next lines will line up properly.]
Underline a
total or double Underline a total. This is
done through the STATEMENT CONTENT.
[Under the total use “US” for a single
underline and “UD” for a double underline.]
Center a
heading such as “ASSETS” on the page. This
is done through the STATEMENT CONTENT.
[In the TYPE enter “HC” and the description
entered on that line will be centered.]
Always make
a copy of your LAYOUT or CONTENT file before
making changes so you can go back if you
need to.

Open
Systems June Conferences
June was a busy month. First the annual
Partner Conference was held the 7th through
the 9th. Then the fourth annual Customer
Excellence Conference was held the 9th
through the 11th.
Both conferences were held in South Point
Resort in Las Vegas.
The two and a half days for each conference
were packed with training, networking,
education, looks at upcoming versions of
TRAVERSE and OSAS, and a little bit of fun
thrown in.
This year’s highlights included first looks
at both TRAVERSE v11 and OSAS v7.6, 56
technical, user and partner breakouts,
networking opportunities to meet other
users, and meeting OSI strategic partners
and the Open Systems staff.
If you missed this year’s conference please
consider it for next year (September). If
you made it to this year’s conference it was
great seeing you.

Federal Minimum Wage Change
Effective July 24, 2009 the federal minimum
wage increases from $6.55 to $7.25 per hour.
This is the final phased increase from the
Fair Labor Standards Act (FLSA).

Tax Changes
In the past
month North Dakota and Hawaii Withholding
tax variables have changed. Effective July
1, 2009 Louisiana Withholding tables and tax
calculation formula is changing and July 24,
2009 the federal minimum wage changes to
$7.25.
Paper
changes to adjust theses states withholding
tables for OSAS versions 7.5x and 7.0x are
available on our website.

Louisiana for TRAVERSE versions 10.5x and
10.2x are available. Contact us for
details.
To be
eligible to receive any of the above
updates, the end-user must be current on
their software maintenance plan.

This act provides tools to get loans, give
lenders new incentives to make more small
business loans, and help unfreeze the
secondary markets to boost liquidity in the

Recurring
Entries
Accounts
Receivable, Sales Order, Accounts Payable,
Payroll, Bank Reconciliation, and General
Ledger all have the feature called
‘Recurring Entries’. Recurring Entries are
designed to save data entry time and
increase accuracy.
Accounts
Receivable/Sales Order
Repetitive
sales to customers can be set up and brought
in each week or month as long as there are
no Inventory Items involved. If you bill a
customer each month for support you would
set up the recurring entry for that customer
and whenever you are ready to bill the
customer just copy in these recurring
entries, print the invoices and process.
Accounts
Payable
Monthly
expenses that you may not get an invoice for
such as rent or a monthly auto use check for
your employees can be set up to just copy in
these invoices as if you had just keyed
them.
Payroll
You could set up a recurring entry for each
employee for 40 hours a week. When you copy
in these recurring entries then all you need
to do is adjust the hours of those employees
who did not work a full week, enter overtime
hours and post. If most all your employees
work a full week this can save a tremendous
amount of time in data entry because you are
only entering the ‘exceptions’.
Bank
Reconciliation
If you Bank
charges you a set service charge each month
it would save you time to set up a recurring
entry for this repetitive amount and just
copy in the transactions each month.
General
Ledger
For those
monthly journal entries for Depreciation,
Amortization, Prepaid Expenses, etc set up
the recurring entry for each one and copy in
the entries each month rather than having to
remember to enter them.

Cash Flow
Your Bank
Statement shows all the inflow and outflows
of your cash, but, what it does not show is
what all these inflows and outflows were
used for. In other words, was the money
spent on Operations, Financing, or
Investing?
Operating
Activities show how much cash is generated
in the day to day delivery of products and
services.
Financing
Activities show how much cash was generated
by debt or equity financing. (Or, the flows
between the organization and the folds who
help finance the organization through debt
or equity.
Investing
Activities details how much cash the entity
made and used in making investments in other
entities, such as the purchase of stocks,
bonds, or other entities.
Assigning the
proper GL TYPES to each account number will
allow you to run the Cash Flow Statement
each period, and see exactly where your
inflows and outflows for any particular
period or year are being used.
